We may collect names, business contact details, billing information, project addresses, photographs, drawings, specifications, correspondence and information entered into order forms or the automated enquiry assistant.
Why we use it
We use information to provide quotation and document services, process payments, communicate about orders, maintain business and tax records, protect legal rights and improve the service.
Our lawful bases
Depending on the activity, processing may be necessary to perform a contract, comply with a legal obligation, pursue legitimate business interests or act on consent.
Who receives information
Information may be processed by selected website, email, file-storage, bookkeeping and payment providers, including Zoho Mail and Stripe when those services are activated. It may also be disclosed where legally required or necessary to obtain professional advice.
Project information
Customers must remove unnecessary personal or sensitive information and confirm that they are permitted to share photographs, addresses and documents.
Retention
Order and accounting records will be retained only for required legal, tax, contractual and insurance periods. Working files will follow a documented retention schedule.
Your rights
You may have rights to access, correct, erase, restrict or object to processing, and to complain to the Information Commissioner’s Office.
Security
We use reasonable technical and organisational measures, including controlled access, separate accounts and established service providers.
Automated enquiry assistant
The website enquiry assistant asks structured questions to help prepare an enquiry. Answers remain in the visitor's browser until they choose to create and send an email. The assistant does not approve technical content, prices, work methods or health-and-safety arrangements.
AI-assisted email drafting
SiteSide Support may use a secured artificial-intelligence service to classify business enquiries, identify missing information and prepare draft replies. Enquiry text may be processed for this purpose. Detailed replies are manually reviewed before sending; the system does not independently approve prices, contracts, technical content, RAMS, complaints or completion dates.
